Add & manage clients
Every client has a record that brings together their details, notes, photos, forms, bookings and purchases, on the console and in the mobile app.
How clients are added#
- Online: a client who books on your booking page gets a record automatically.
- While booking: in a new booking, open the client field and choose Add new client…. Only a name or an email is needed; leave the email blank for a walk-in. See Book an appointment for a client.
- In bulk: on the Clients page, use Import CSV (start from Download template), or bring everything over from another tool, see Switch to Lorenly.
Find a client#
The Clients page lists everyone with their bookings, spend, codes used, packages and when they were last seen. Search by name or email, filter by status (Active or Banned) or by activity, and sort the list. Export CSV downloads it.
Inside a record#
Open a client to see and edit:
- their details (name, email, phone, birthday, tags) and marketing consent,
- Notes for the whole team,
- Photos,
- form answers and signed consents,
- loyalty points and memberships, if you use them,
- Activity and their upcoming and past bookings, with Book again to rebook the last service.
Depending on your type of business, extra sections such as safety notes or care history can appear. They are only visible to roles allowed to see that information.
Duplicates, bans and erasure#
- If you change a client's email to one that already belongs to another record, Lorenly offers to Merge clients, folding the history into one record.
- Ban client stops that person from booking online.
- Erase (GDPR) permanently removes a client's personal data while keeping anonymous booking history, see How Lorenly protects client data & photos.
What each person on your team can see, such as client email and phone, depends on their role, see Team members, roles & permissions.
