Team members, roles & permissions
Give each person their own login and control what they can see and do with a role. Separate logins keep client data protected and let you remove access in one click.
Invite a team member#
- Go to Settings → Team and choose Invite user.
- Enter their email and choose how they get in:
- Send an invite: we email a secure link so they set their own name and password.
- Set a password: you choose a temporary password and give it to them.
- Pick their role and, if you have several, the locations they work at.
- For someone who takes appointments, decide whether to Assign to all services. It is off by default, so you choose their services afterwards.
- Save.
Pending invites show as Invited. You can Resend invite or Revoke invite from the same list.
Edit someone#
Click a person in Settings → Team to open their details. You can change their role, locations, login email and active status, and edit their Profile: the photo, title, bio and specialties shown on your booking page.
Roles and permissions#
Open Settings → Roles & access to see every role as a card of permissions, grouped by area (bookings, clients, payments, settings and more).
- The Owner role always has every permission and cannot be changed.
- Tick or untick permissions on any other role, then Save that role.
- Add role creates your own, for example an assistant with a narrow view.
A few permissions worth knowing:
- See client email & phone: when off, that role sees masked contact details everywhere and cannot call, text or email clients from the app. Reminders and confirmations are still sent automatically.
- View payments and processor links: controls who sees payment amounts and the links that open a payment in your processor.
- Availability can be granted for everyone's hours, or only for the person's own hours.
Changes apply the next time the person loads a page. The mobile app follows the same roles.
When someone leaves#
In Settings → Team, switch them to inactive or delete them. Their past appointments and sales stay in your records; only their access ends. Work schedules are separate, see Add staff & set schedules.
