Workflow: a different confirmation email for each kind of treatment

How Beauty Art Pro sends treatment-specific confirmation emails with preparation tips and form links, and how to set up service versions in Lorenly.

A lash lift client needs to know to come without mascara. A permanent makeup client needs to sign a consent form. A massage client needs neither. Beauty Art Pro sends each of them a confirmation email written for their treatment, while every other service keeps one default version.

The setup at Beauty Art Pro

  • Separate confirmation emails for permanent makeup, microneedling, lash lifts and brow lamination, each attached to its own services.
  • The permanent makeup and microneedling versions include the list of forms to fill in, placed inside the studio's own wording.
  • The lash lift version adds preparation tips: stop lash serum seven days before and come with clean lashes, without mascara.
  • Every confirmation repeats the 48-hour cancellation rule, so the policy is in writing for each booking.
  • The reminder the day before shows its consent paragraph only while a form is still waiting.

One default email for most services, and a dedicated version where a treatment needs more.

Set it up in Lorenly

  1. Go to Settings → Templates and choose New template for the Booking confirmation.
  2. Under Used for, choose Replaces the default for some services.
  3. Tick the services this version is for.
  4. Write the content for those clients: preparation tips, what to bring, aftercare.
  5. Use Insert shortcode to add booking details, and the forms list where a form is needed.
  6. Save. Every service you did not tick keeps receiving the default version.

Only show a paragraph when it applies

In a reminder, wrap the consent request between the {if.booking.forms_url} and {endif} shortcodes. Clients who still have a form to fill in read the request and the link. Clients who already signed do not read "please sign" again.

The help centre explains every template option: Customize message templates & designs.

Frequently asked questions

Can I send a different confirmation email for some services?

Yes. Add a New template for the booking confirmation, choose Replaces the default for some services under Used for, and tick the services it is for. All other services keep the default version.

Can a reminder show text only when a form is not signed yet?

Yes. Wrap that text between the {if.booking.forms_url} and {endif} shortcodes. It is shown only while a form is still waiting for that booking.

What happens if I place the forms list myself?

When a template places a forms shortcode, the automatic forms box is not added, so the link never appears twice.
